Every team has a bank account at Commerce Bank, set up by SBV. The accounts belong to SPORTING Blue Valley: by signing the signature card, you take full responsibility for managing the team's money, and any misuse of team funds is the admin's responsibility.
The account
- SBV's Club Administrator and Board Treasurer are signers on every team account. The team admin and/or treasurer should be signers too. Don't add anyone else without clearing it with SBV, and never add the coach.
- Online banking is at commercebank.com. SBV emails you a Customer ID and a temporary password; Commerce texts you a code each time you sign in.
- Trouble with online banking or getting into the account? Contact Julie, the Club Administrator. Commerce can't help, because SBV set the account up.
- You won't need many checks: Commerce issues a debit card, and you can ask for bank checks (handy for hotel rooms and the coach's meals).
- Copy and keep track of every expense and deposit: you're responsible for your team's financial integrity.
Keeping the books
- Reconcile the bank statement every month.
- Give families an accounting of the team's money in December and again at the end of the year, and send an end-of-year report to the Club Administrator.
- At the end of the year: leave $1 in the account, write any refund checks, and give families a summary of the year's income and expenses.
